What the statuses mean

Every status in the app is computed when the page loads (from dates, from document states, from open counts), so what you see is always the present tense. Each one renders as an icon plus a label (never color alone), and this page lists them all: what each means, and what, if anything, to do about it.

Document statuses

These appear on expected-document rows, in the site document matrix, and on count tiles.

Status Meaning What to do
Missing (grey outline) The requirement expects a document and none has been filed Upload it from the site page
Expired (red) The document’s validity period has ended Upload the renewal
Pending review (blue) Uploaded, awaiting an approval signature Review the file, then approve it or return it for correction
Returned (orange) A reviewer sent the latest version back, with a reason Read the reason on the document page and upload a corrected version
Expiring soon (amber) Current, but inside its expiry warning window Chase the renewal before it lapses
Current (green) Approved and in force Nothing
Superseded (grey) Replaced by a newer sibling document Nothing; it’s history, kept forever
Waived (grey) An admin recorded why the requirement doesn’t apply here (e.g. central IRB) Nothing, unless circumstances change; then lift the waiver from the site page

Review queue statuses

The queue lists documents awaiting review; these describe the assignment, not the document (which is always Pending review while it’s here).

Status Meaning What to do
Unassigned (amber outline) Awaiting review, nobody named Assign a reviewer from the queue page
Assigned (blue) A named reviewer has it, not yet due Review it: approve or return
Overdue (red) Past the assignment’s due date Review it now, or reassign

Monitoring visit stages

Scheduled (grey outline) Visit date still ahead
Overdue (red) Scheduled date passed, no visit recorded
Awaiting report (amber) Conducted, no trip report yet, or the report was returned for correction
Report in review (blue) Trip report uploaded, not yet approved
Follow-up (amber) Report approved, action items still open
Complete (green) Report approved, everything resolved

Issue and action-item statuses

Status Meaning What to do
Open (amber) Logged, not yet resolved, not yet due Work it
Overdue (red) Past its due date without a resolution Work it now
Resolved (green) Resolution recorded Nothing

Issue severities

Severity is set by whoever logs the issue and doesn’t change on its own.

Severity Typical use
Critical (red) Safety-relevant or reportable; needs escalation
Major (amber) Meaningful protocol or process breach
Minor (grey) Documentation-level finding
